We collect information you provide directly when using ez invoice through WhatsApp, including your phone number, business name, customer details, invoice data, and voice messages for transcription. We also collect usage data to improve the service.
2. How We Use Your Information
Your data is used to provide billing services (creating invoices, quotations, managing customers), process voice transcriptions, generate PDF documents, and improve our AI models. We never sell your personal or business data to third parties.
3. Voice Data
Voice notes are transcribed using secure AI services and are not stored permanently. Transcriptions are processed to extract billing actions and are retained only as part of your conversation history for context.
4. Data Storage & Security
All business data is encrypted at rest and in transit using industry-standard AES-256 encryption. Data is stored on secure cloud servers. WhatsApp messages are protected by WhatsApp's own end-to-end encryption during transmission.
5. WhatsApp Integration
ez invoice operates through the official WhatsApp Business API. We access only the messages you send to our business number. We do not have access to your other WhatsApp conversations, contacts, or media.
6. Data Retention
Your business data (customers, invoices, quotations) is retained as long as your account is active. You can request deletion of all your data at any time by contacting us. Deleted data is permanently removed within 30 days.
7. Third-Party Services
We use third-party services for voice transcription (OpenAI), cloud hosting, and PDF generation. These providers are bound by data processing agreements and are compliant with applicable data protection regulations.
8. Your Rights

9. Changes to This Policy
We may update this Privacy Policy periodically. We will notify you of significant changes via WhatsApp or email. Continued use of the service after changes constitutes acceptance of the revised policy.
